Hello, and welcome to today's webinar. We're going to explore how SFG20, Facilities-iQ, and our integration with Trackplan can deliver real value to your organisation. I'm Jessica, the Senior Marketing Manager here at SFG20, and I'm delighted to be joined by Product Manager Wayne, and special guests Mark and Charlie from Trackplan.

State of FM Findings
Over the past few months, many of you took part in the SFG20 State of Facilities Management Survey 2025. The results were fascinating:

70% of facilities managers don’t fully understand their compliance responsibilities.

43% of organisations believe their asset registers are less than 75% accurate.
This may not surprise those of us who regularly review asset registers—some are in quite poor condition. One even listed "oxygen" as an asset!
These issues matter because there are over 1,000 legislative updates per year. Without clear asset data and compliance understanding, it becomes nearly impossible to know what needs maintaining and when.
About SFG20
This is where SFG20 comes in. It’s the industry standard for building maintenance specification. For over 35 years, we’ve helped organisations keep their buildings safe, compliant, and efficient.
Established in 1990 by BESA (the Building Engineering Services Association), SFG20 provides over 1,000 maintenance schedules—each detailing what tasks are required, who should complete them, and how often. These are continuously updated by our in-house team of technical authors to reflect current legislation and best practice.
You’re automatically notified when updates occur, and our side-by-side comparison makes implementation easy. No more time-consuming research required.
Maintaining assets well not only saves time and effort, it extends their lifespan and reduces compliance risk.
Accessing SFG20
So, how do you access the standard?
There is only one way: through Facilities-iQ. It's more than just a digital library of the standard—it's a powerful tool with intelligent features. Here are a few highlights:

Smart Search: Search by keywords, Uniclass, SFG20 or NRM codes—even legislation titles like the Building Safety Act.

Tailoring: Customise schedules based on asset condition, add notes, adjust task frequencies, or remove irrelevant tasks.

Maintenance Regimes: Organise schedules by contract, budget, building, or region.

Secure Sharing: Share schedules with stakeholders, assigning access levels and time limits.

Audit Trail: Use the Actions tab to track updates and confirm schedule changes at your chosen time.
Facilities-iQ is not a CAFM, CMMS, or IWMS, but it integrates easily with them using API keys. This ensures that your system is always aligned with the current SFG20 standard.
Introducing Trackplan
Thanks, Jess. Now onto the integration.
We’re joined today by Trackplan, one of our Digital Partner Programme members. I’ll hand over to Charlie and Mark from Trackplan to walk you through their platform and how the integration works.

Hi everyone, I’m Charlie, Head of Growth at Trackplan FM. I manage our sales and marketing in the UK and joined after introducing Trackplan to a hospitality chain during my previous role.

Trackplan + SFG20 Integration
To integrate, you need licenses for both Facilities-iQ and Trackplan. Here's how it works:

Create your maintenance regimes and planned schedules in Facilities-iQ.

Generate a secure sharing token.
-
Input that token into Trackplan to sync both systems.
Once synced, the planned schedules will appear in Trackplan, where you can:

Allocate schedules to assets, sites, or locations
-
Set next due dates (bulk upload supported)

Automate job generation on a cyclical basis

Assign contractors or engineers
-
Use the calendar or automations to manage scheduling
For engineers, mobile apps automatically display jobs with attached SFG20 checklists. These can be mandatory for job completion and raise alerts or follow-up actions if tasks fail.
All data is saved automatically to the relevant job.
For contractors, the checklist can be included via the portal or in the job instruction email. It can also be completed digitally.

Q: How easy is it to connect Trackplan with SFG20? Can my internal team handle it, or do we need external support?
Wayne (SFG20):
From the Facilities-iQ side, the integration work with Trackplan is already complete and fully signed off. There’s a dedicated domain that allows the data to flow straight into Trackplan—so the heavy lifting has been done.
Charlie (Trackplan):
Yes, exactly. You simply create your regimes with the relevant planned schedules in Facilities-iQ. Each regime includes a sharing token. Once you input that token into Trackplan, it syncs the data directly. It's a very straightforward process.
Wayne:
And if anyone needs support, our Learning Lab is available to guide you through the process. We’re also happy to provide help through our support team.
Charlie:
We’ve also created a video guide on the full integration process—both SFG20 and Trackplan have resources available to support you.
Q: Are SFG20 standards aligned with building legislation requirements in LAM, NAM, and APAC regions?
Wayne (SFG20):
Great question. I’m actually the Product Manager for the software platform, not the technical content, so I’ll need to follow up with our content team to confirm which international standards are currently aligned. We’ll be in touch with the full details.

Q: When an SFG20 item is updated in a regime, does that change also update in Trackplan?
Charlie (Trackplan):
Yes. Within Facilities-iQ, you choose when to implement a schedule update. Once you’ve accepted that update, you can resync with Trackplan and it will pull through the latest version—including the new version number.
Q: Will the update overwrite data in Trackplan, or do we need to manually delete old jobs?
Mark (Trackplan):
The integration generates new schedules. If you’ve already created planned schedules in Trackplan and want to align them with SFG20 versions, merging isn’t automatic—yet. But it’s a great point, and we’re planning to introduce this feature in an upcoming release.
Charlie (Trackplan):
To add to that: if you’re replacing existing Trackplan schedules with SFG20 ones, we can help streamline the process. We can extract your current schedules and due dates, map them to SFG20 schedules, and bulk upload them—so there’s no need to start from scratch.
Q: Can we schedule when we implement a new SFG20 legislative update?
Wayne (SFG20):
You absolutely have control. Facilities-iQ notifies you of updates and lets you choose when to apply them to your maintenance regimes. If you want to peer review or consult contractors before applying, you can. The update only goes live when you choose—and only then can it be synced to Trackplan.
Q: As a main contractor, we receive monthly PPM schedules from a client. Can we upload these into SFG20 and Trackplan?
Wayne (SFG20):
That depends on how you’re receiving those PPMs. Typically, Facilities-iQ holds the full annual or multi-year maintenance regime, not monthly inputs. If your client is using a CAFM system like Trackplan, they may be able to give you access directly via a shared regime.
Mark (Trackplan):
Yes, within Trackplan we have an Upload Centre that allows bulk imports from spreadsheets. You can upload planned maintenance schedules along with associated assets, due dates, and engineer assignments. We also support this process via API if required.
