Your Guide To Tailored, Derived And Custom Schedules in Facilities-iQ
If you’re just starting out with Facilities-iQ, you might be curious about what Tailored, Derived and Custom schedules are all about.
SFG20 have developed this guide to answer exactly that and help you make the most of Facilities-iQ, the best way to put the SFG20 standard into practice.
Let’s get into what each schedule type means and why they’re beneficial in helping you nail your maintenance tasks and keep your wider maintenance operation running like a well-oiled machine.
What Are Tailored Schedules In Facilities-iQ?
Once you've set up your Maintenance Regime in Facilities-iQ, the freedom to customise schedules is right at your fingertips.
All Facilities-iQ subscribers have the ability to add to add custom introductions, amend duration, frequency and skill sets as well as remove tasks that aren’t relevant for their assets. This is known as Basic Tailoring.
You can also add specific notes to a schedule that applies to a particular location or asset. This assists engineers in locating assets and specific parts, reducing the time they spend on the task and maximising efficiency.
Advanced and Professional Facilities-iQ subscribers are able to do all of the above alongside amend the colour code criticality level of tasks and the Unit Of Measure (UoM) to identify whether the service timings on the schedules are applicable per system, per item, per square metre or per linear metre. Advanced and Professional users can also add how many assets are associated with a schedule. This is known as Advanced Tailoring.
What Is A Derived Schedule In Facilities-iQ?
With a Professional Facilities-iQ subscription, you can create a Derived schedule.
A Derived Schedule is any schedule created from a current or “parent” SFG20 schedule in which you can edit the wording in a task as well as add or remove tasks.
If you wish, you can also add an entirely new task that isn’t in the parent schedule, which is useful if you have a specific Service Level Agreement (SLA) that applies to your business.
When the parent schedule is updated by SFG20, we’ll remind you that you have your own version of this and allow you to see a side-by-side difference between the latest version of the parent schedule and your tailored version.
You can then choose to adopt all of the new parent content or implement updates at a later date that suits you.
What Is A Custom Schedule In Facilities-iQ?
Available for Professional Facilities-iQ subscribers, Custom Schedules go beyond just tailoring schedules or creating a Derived schedule as they allow you to start from scratch and make a schedule that’s wholly unique for your organisation.
They’re often used by businesses to manage specialist assets. So, if you need to maintain a bespoke asset, you have the option to create a Custom Schedule with your own set of tasks and instructions.
Please note: as Custom schedules do not have a parent SFG20 schedule, it’s important to make sure that you keep them up to date.
What Are The Benefits Of Tailored, Derived And Custom Schedules In Facilities-iQ?
Create Customised Maintenance Regimes
SFG20 allows you to create tailored Maintenance Regimes that are specific to your buildings and assets with the option to amend, add and/or remove specific tasks.
This customisation ensures that maintenance activities are optimised for each facility's unique needs. For example, task timings and frequencies can be adjusted to better reflect a smaller or larger facility, or your specific industry to allow you to plan with greater accuracy and forecast more precise budget requirements.
Make Site-Specific Changes
When tailoring, you can implement site-specific changes to tasks at individual locations.
This feature enables you to modify processes and/or requirements for specific assets within those areas without impacting other buildings or locations.
Your Changes Won’t Override Your Compliance Efforts
If you’ve tailored a schedule or made a Derived schedule and the parent schedule is updated by SFG20, not only are you notified and shown where you are using this schedule, but none of your tailoring will be overwritten by the update.
We also allow you to control when to implement any updates, which again won't overwrite your tailoring, meaning you can be confident that your tailored schedules are up to date and compliant.
Please note: as Custom schedules do not have a parent SFG20 schedule, it’s important to make sure that you keep them up to date.
